    The Guest Service Intern is a crucial member of the Conference Chicago and University Center team. With this position comes the responsibility of promoting Conference Chicago and displaying model customer service.  The Guest Service Intern is expected to act maturely and be attuned to the goals and objectives of Conference Chicago and University Center at all times. 

     

     

    During the summer months, University Center offers full service accommodations to students, corporate interns and conference attendees.  The Guest Service Intern will be immersed in all facets of University Center's summer conference and housing operations, and will rotate between the positions of Guest Service Agent, Guest Room Attendant, and Shift Supervisor.  The Guest Service Intern will work directly with conference operations department and sales department. 

    Responsibilities

    • Monitor and work Guest Service Front Desk
    • Check summer housing guests and building residents into and out of appropriate units
    • Act as guest contact, field guest calls and requests as needed
    • Add required charges and payments on guest ledgers
    • Receive payments and process payments for guests
    • Verify room statuses prior to guest room check in and after guest check out
    • Create and maintain the room status reports and update system accordingly
    • Work with housekeeping to ensure all rooms are properly checked and inventory is properly organized.
    • Review and confirm housing numbers, unit type, linen service, meal requirements and proper documentation for arriving summer housing groups
    • Perform necessary concierge duties
    • Attend necessary staff meetings and trainings
    • Supervise Guest Service Agents and Guest Room Attendants when serving as Shift Supervisor
    • Assist with maintaining key inventory and security, re-encode and make new keys when necessary
    • Keep room inventories up to date; update any changes to housing assignments and lists
    • Communicate all relevant information to next shift and to Management prior to ending shift

    Qualifications

    Education/Experience and Technical Requirements:

    • Previous management, hospitality and customer service education and experience required
    • Must possess exemplary ability to work well with students, staff, management and guests
    • Must display strong leadership qualities
    • Ability to accurately operate multiple computer programs and office equipment
    • Good organizational skills
    • Ability to communicate effectively with others
    • Must pass a background check and drug test

     

    Physical Requirements:

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

    • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
    • Constantly operates a computer and other office productivity machinery (i.e., a calculator, copy machine, and computer printer)
    • While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
